Introduction/Overview

The purpose of this SOP is to help YOU, the potential customer, feel more comfortable and confident in the experience and reliability of Randy The Cleaning Guy and contracting with The Cleaning Guy LLC to service your facility.

At the outset let me say that we are not perfect people or a perfect cleaning company.

We consider ourselves as pretty laid back and down-to-earth, so to speak, type of people. I mean we clean other people’s toilets for heaven sake! lol.

The Cleaning Guy LLC is a very small business that my wife and I run out of our home. We are not a large distant franchise with a traveling manager that really doesn’t give a flip about the customer. This is our lively hood and we value our relationship with our customers very much, therefore, we want to take care of them in a simple but professional way. We have been in the cleaning industry, pleasing customers and providing janitorial services in Flint Michigan area for over 30 years. In December of 2023 I sold 40 cleaning accounts to another cleaning service and semi retired. However, my wife and I knew we couldn’t just stop working altogether so we kept the business name and are now only taking on a select few cleaning accounts.

So, let me go through some of our SOP’s to shed some light on how we operate our small home based business and to help you determine if we can help you with keeping your facility at a high level of cleanliness.

General Guidelines – First Contact

  • First Contact – After you, the potential customer, calls and schedules a free no obligation office cleaning quote, we set up a time to visit your facility to do the first walk through, taking notes and determining what cleaning needs your facility is in need of. Randy The Cleaning Guy, the owner of the company, will be your contact and will meet with you or your business manager to discuss your cleaning service needs.
  • Cleaning Quote/Contract – Once we visit your facility and determine how many days per week or month you decide you want your facility cleaned, Randy will type up a cleaning quote/contract. Actually, it is a practice of The Cleaning Guy LLC to NOT offer a hard nosed “contract” that neither party can get out of for the next 365 days. No, we like to think of our contracting together as an “agreement” more than a contract. We want to build a long-term business relationship with you and make it easy to keep your facility clean so you can handle your day to day operations of your company and not have to bother with the elementary things as building cleanliness.   • Sign, In Agreement To The Terms – Once Randy types up the agreement (usually it takes one to three days) He will email you the agreement as an attachment for you to view and decide if you agree with the terms. All The Cleaning Guy LLC’s quotes/contracts allow for both parties to terminate the contract at anytime during our relationship for any reason. We do this to help you, the customer, not to feel trapped in a contract you don’t like. If we are not pulling our weight and you don’t think we are cleaning very well then we deserve to be let go and you do not have to wait for 365 days before you end the contract. We give you our word that we will give you our all to keep your facility cleaned but there are sometimes when the two parties can’t seem to make things work out for whatever reason.
  • Keys and Code – Once the agreement is signed and returned via email, we would set up a time to gather the building keys and alarm codes. The Cleaning Guy LLC is fully bonded and insured with the latest business limited liability insurance and can provide a COI upon request.
  • Work Schedule – Most generally The Cleaning Guy LLC would clean your facility after business hours either one evening during the week (or each evening during the week if you choose an each evening service) or on the weekend, Friday evening, Saturday or Sunday (We normally take off each Sunday but use it only on occasion when necessary). We can also clean during the day hours at times if this is what you facility needs. (sometimes churches need daytime cleaning)
  • Dress Code and Appearance – In the past when The Cleaning Guy LLC had employee’s and was a larger company we had uniforms (shirts and hats) but now that my wife and I are the only ones cleaning we usually just where regular jeans and a t-shirt. However, I have no doubt that you might catch me in one of my old stained cleaning shirts and faded ball caps. 😉

Services-Specific Procedures

  • First Day Of Office Cleaning – Many times if we have never cleaned your facility before and if we see it has not been taken care of very professionally in the past, we will include in the cleaning quote/contract a one time cleaning fee to bring the level of cleanliness of the office up a notch or two. Therefore, the first time we clean your facility will be to do a more detailed one-time deep cleaning. Then, the following time we return to clean again, we would begin the Basic 5 Office Program.
  • Basic 5 Office Cleaning Program – Regardless of how many days (evenings) we contract with you to keep your facility at a high level of cleanliness, we normally quote all our customers the Basic 5 Office Cleaning Program. Here is what is generally included in this program… (please take note that we always do more then just the basics in every building we clean. It’s really difficult to explain what we do in it’s entirety after 30 years of practice.)
    Trash Gathering and Removal – We will remove any soiled trash liner and replace with a clean fresh liner if necessary. Sometimes we only dump the trash receptacle and if the liner is ok we will save it and reuse it to help keep costs down as much as possible. We gather all the smaller trash bags and collect them throughout the whole facility and place in a large rolling trash can with a 55 gallon trash bag inserted, for ease of removing and transporting to the outside dumpster.
    Restroom Cleaning – The first step in disinfecting and sanitizing restrooms is using the proper professional cleaning product. Most generally we use many cleaning chemicals from Spartan Chemicals. We would pre-spray all sink, toilet, urinal and the fixtures letting the chemicals set on the surface so they can have time to disinfect and sanitize. We then take a clean rag and wipe down all surfaces that got sprayed. We then clean the mirror and fill all paper products and washing soap when necessary. We would lastly sweep and mop the floor.
    Dusting and Wiping Down – Dust on surfaces can be very noticeable and needs to be wiped down regularly. Sometimes when facilities are only cleaned bi-weekly it is really difficult to remove all dust, debris and cobwebs. However, each cleaning visit we will go through each individual offices, hallways and wipe desks off of finger prints, dusting the high and low points of each corner and behind doors. We will use our feather duster to knock dust and debris down off of computer screens and the back of monitors, as well as window sills and ceiling vents. We would then come behind and sweep or vacuum the area.
    Sweeping and Vacuuming – We would first sweep or dust mop any hard surface area and pick up the debris. On a one time deep cleaning we would move furniture and vacuum behind and underneath. However, in our Basic 5 program we would only spot vacuum all areas and hallways that are carpeted.
    Floor Mopping – Lastly we will add hot water (if the facility provides it) into a mop bucket as well as a mopping solution and wet mop all hard surfaces as needed. Admittedly, we might not mop every hard floor area in the facility if it is unnecessary. If we clean a facility on a daily basis and hardly anyone was in that office area the day before we may make a judgement call and not mop an area. But we promise that all floors will be mopped and cleaned professionally as necessary.
    Commercial Carpet Cleaning – Carpet cleaning is an add on service and not part of the Basic 5 Office Cleaning Program. If we are contracted with you to keep your carpet clean and fresh then this is done once or twice during the year depending on the contract and the facilities needs. We use a carpeted scrubbing pad to scrub traffic lanes and hot water steam extraction to remove stains and debris.
    Window Washing – Window washing is an add on service and not part of the Basic 5 Office Cleaning Program. If we are contracted to keep your interior and exterior windows cleaned we would normally clean windows on a monthly or quarterly bases.

Equipment and Supplies

  • Each contract is set up to have the customer supply all other supplies other than the cleaning chemicals. The Cleaning Guy LLC is responsible for providing his own cleaning all purpose, stainless steel polish, disinfecting and sanitizing chemicals and floor cleaning detergent. If the customer has certain cleaning chemicals on hand in the facility for the cleaning service to use then we might use those products if available, however all cleaning contracts are set up for the customer to supply their own restroom and kitchen paper towels, appropriate toilet paper roll sizes, restroom and kitchen hand washing soap and different sizes of trash bags needed for receptacles and debris.It is also the customers responsibility to properly order and supply the facility with enough of these products to help The Cleaning Guy LLC to accomplish his duties professionally and in a timely manor. An example of this might be that if the facility runs out of paper towel or toilet paper then it really doesn’t affect The Cleaning Guys job much, but it really is a bad thing if we can’t fill a toilet paper dispenser and someone tries to use the restroom the next day and finds the dispenser lying empty.However, when all the trash bags run out and there is no way to gather all of the trash/debris to haul to the dumpster and we have to either walk 25 times out to the dumpster to throw each individual piece of trash out or not have a way to remove the trash from the building at all, then it reflects badly on The Cleaning Guy LLC, leading to staff thinking the facility is not being serviced properly and professionally. In all our contracts it is the responsibility of the facility manager/team to order and keep on hand proper amounts of toilet paper, paper towel, hand washing soap and appropriate sized trash bags at all times.
  • The Cleaning Guy LLC will not leave any cleaning chemicals at your facility and will carry in and carry out all cleaning chemicals used to clean your facility on a per cleaning basis. The only cleaning chemical that might be left on the premises is floor mopping soap. The Cleaning Guy LLC will also leave a wet mopping bucket and wringer, a wet mop and handle, a dry mop dust mop and handle, and a large 55 gallon rolling trash can on most customers premises if storage room is available.

Monthly Billing – End of The Month

  • We invoice you one time at the end of each month
  • After we clean your facility for one month we type up your invoice and send it to you electronically via Email.
  • Each invoice is dated the last day of the month and if you signed an agreement/contract with The Cleaning Guy LLC, then you agreed to our terms of Net 30 from the date on the invoice.
  • Because of the size of The Cleaning Guy LLC, unfortunately we do not offer a credit card payment system. We ask that you either mail us a check to 9357 Isabella Ln, Davison, MI 48423 or if you have a direct payment system we can provide you our bank and routing information.

Safety Security and Emergency Situations

  • A night time emergency contact number is a standard necessity with all signed agreements. Since we are in your facility alone after business hours most of the time, it is necessary for us to always have a phone number we can call in case of unforeseen situations and emergencies. I remember years ago that when we entered this particular facility to begin our cleaning that evening, we heard a strange hissing sound. as we followed the sound down the hallway we found a broken water pipe with water spewing all over the place with no way to shut it off that we knew of and needed to immediately call the night time emergency number for help.
  • Mop buckets full of water are heavy, lifting large trash bags into a high dumpster is difficult, floors can be slippery, cleaning chemicals are dangerous not to mention the facilities equipment and potentially injurious contents. The Cleaning Guy LLC has learned to be as careful as possible when cleaning a facility.
  • There has been times when we go to enter a facility that we find it unlocked. If this is the case we will certainly bring it to your attention by calling or texting the contact number. However, most generally when we begin cleaning and before we enter the building we usually find it locked and secured. Because you are trusting us with the contents of your facility by distributing to us the keys and code, we totally understand it is our responsibility to make sure we secure the building and set the alarm before we leave. I could never make a promise that I we would never ever forget such a thing and miss securing your building, however, after cleaning commercial buildings nightly myself for over 30 years we have developed a system that, that should never be an issue.
